1. What we collect
When you use FormalMail, we collect:
- The text you enter to describe your situation
- Your detected or chosen country and language
- Your IP address (to determine country and prevent abuse)
- Your browser user-agent
- The generated letter (temporarily, for caching and quality improvement)
2. What we don't collect
We do not collect your name, email address, phone number, or any financial information. We do not require account creation.
3. How we use your data
- To generate your letter (the user input is sent to our AI provider, Groq)
- To cache identical queries and improve response time
- To monitor for abuse and rate-limit excessive usage
- To analyze usage patterns in aggregate (no personal identification)
4. Third parties
We use Groq as our AI processing provider. Your input text is transmitted to Groq's API for language model processing. Groq's privacy policy is available on their website.
We may use Cloudflare for CDN and security. Cloudflare may retain logs for security purposes.
5. Your rights (GDPR / CCPA)
You have the right to request access to, correction of, or deletion of your data. Contact us via the contact page to exercise these rights. Since we don't collect identifying information, deletion requests require you to provide session/timestamp details.
6. Cookies
We use a single session cookie (formalmail_session) to store your language preference, country override, and CSRF token. We do not use tracking or advertising cookies.
7. Data retention
Generated letters are stored for up to 30 days for caching. Analytics logs are retained for 90 days. After these periods, data is permanently deleted.
